Have you checked the period end co-funding report? That is where you will see if the system is thinking any employer contribution is overdue. That is probably why a completion payment is blocked

Fell into this trap too and took a while to bottom out. I was then advised that a letter had been posted on the DfE Document Exchange site back in June 2022. I did point out to the ESFA that given everything else we do is via such as the SLD, SfS, Apprenticeship Service, VYED data etc. to have to then keep any eye out for Document Exchange is a bit confusing for us. We now have a complete system which holds a single letter!! Anyone else feel the same as I do?

Hi there, no I didn't try anything else other than leaving the incorrect text in the box until the correct text had been prepared. The old text was deleted and replace immediately with the correct version. It just would not let me leave the box blank after anything had been entered previosuly. Clearly as you quite correctly say Helen it is a painstaking process of making sure everything is where it should be and so much rides on the person completing it not making a daft mistake! Chris

Yes absolutely Steve. We have some apprentices that have been waiting for months for their mandatory face to face interview and apparently trying to get hold of someone to talk to about this is virtually impossible. We even had an apprentice who was supposedly sent their NI number in the post, it never arrived and they won't now tell him what it is! ESFA, I don't think you fully appreciate the scale of the issue to be honest

I couldn't agree more Helen! The organisation I am helping to complete this month did not prepare for the person in control soon enough and I actually started to get into the system detailed layout on the 16th!! I also found that after I had entered the financial figures and needed to clarify the FTE number needed so saved and continued. I got the staff FTE number later, went back in and the financial stuff had disappeared!

All of the errors that were present yesterday with regard to the legacy functional skills with the exception of one! There is one learner who restarted their learning in February 2021 and the functional skill planned end is set at March 2021. The aim was not achieved however until 8th of August and this has now rejected the learner record. We have several more learners in similar circumstances that are continuing after having been on a break in learning due to the lockdown primarily. There is no funding for this record in 2021/22 so do we just close down as having been achieved two weeks before it was i.e. end of July and wing it? No funding issue as I see it, just working around something which is not our problem as Steve quite rightly says.

Hi Sarah, we try our best to deal with the situation. I was a little hacked off when I received a reminder that we need to submit the declaration after having already submitted it and got the receipt for doing so! Apparently it was a generic reminder I am told. Their system needs smartening up. As for your query about any amendments to a previously submitted version that relates to the period April to July 2020 I am not sure that would be possible although I have never had to try to amend an earlier version. I guess that will need to be an ESFA enquiry. The approach I have taken is to follow the last instruction i.e. data submitted from 01/08/2020 to 31/07/2021 regardless of the 27th January date shown.
